Privacy Policy

Mehxiv (“we”, “us”, “our”) operates the MEHXIV Security app (the “App”) for use by our SIA-licensed security guards and personnel. This policy explains what information we collect through the App, why we collect it, and how you can control it.

By using the App, you agree to the collection and use of information as described here. If you do not agree, please do not use the App.

1. Who this policy covers

This App is for use by Mehxiv employees and contracted security personnel only. It is not directed at, and is not intended for use by, children. We do not knowingly collect information from anyone under 18.

2. Information we collect

We collect the following categories of information when you use the App:

Account and identity information

  • Office/username and password (for login)
  • Name, email address, and phone number

Location data

Precise (GPS) location, collected only while the App is in use (foreground) — for example when you tap the Location button, start or end a shift, submit a check-call, or trigger an emergency alert. We do not collect your location in the background.

Photos

  • Photos taken through the App at shift start and during hourly check-calls, used as proof-of-presence at your assigned site
  • Photos or files you choose to attach in chat messages

Compliance and identity documents

  • Documents you upload for right-to-work and licensing checks, which may include passport, biometric residence permit (BRP), SIA licence, driving licence, DBS certificate, National Insurance proof, and proof of address
  • Timesheets you upload
  • Proof-of-bank-account documents where required for payroll purposes

Messages

Text and file/photo attachments you send through the in-app messaging feature with the office or your team.

Device and technical information

  • A push notification token, used solely to deliver notifications to your device
  • Basic device information used to determine whether your device supports certain features (this is not transmitted to third parties)

Emergency alert data

Your location and any message you provide when you use the emergency/SOS feature, sent to the control room to enable a safety response.

3. Why we collect this information

We use this information to:

  • Verify your identity and confirm your right to work as a licensed security guard
  • Schedule, assign, and verify your shifts
  • Confirm you are on-site during shifts and check-calls
  • Process payroll and timesheets
  • Enable communication between you and the office/control room
  • Respond to emergencies
  • Send you relevant notifications about shifts, documents, and messages
  • Meet our legal and regulatory obligations as a licensed security provider

4. How we share information

We do not sell your personal information, and we do not share it with third parties for advertising or marketing purposes. Your information is stored on our own backend systems and is only accessible to authorized Mehxiv personnel who need it to perform the functions described above (e.g., control room staff, payroll, compliance). We may disclose information where required by law or to a regulator such as the SIA.

We use Firebase Cloud Messaging solely as the technical transport for push notifications. This is not used for analytics or advertising.

5. Data retention

We retain your information for as long as your account is active and for a period afterward as required for payroll, compliance, and legal record-keeping obligations (for example, right-to-work and DBS records are subject to statutory retention periods). When information is no longer required, we delete or anonymize it.

6. Your rights and how to delete your data

You can request deletion of your account and personal data at any time. See our separate Account & Data Deletion page for details on how to make a request and what to expect.

You also have the right to:

  • Request a copy of the personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to restrict or object to certain processing

7. Security

We take reasonable technical and organizational measures to protect your information, including secure storage of authentication tokens on your device and encrypted transmission between the App and our servers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
